Job Description
Ralph Lauren Corporation is a leader in the design, marketing and distribution of premium lifestyle products in four categories: apparel, home, accessories and fragrances. For more than 44 years, Ralph Lauren's reputation and distinctive image have been consistently developed across an expanding number of products, brands and international markets. Purpose and Scope: Provide day-to-day administrative assistance to Vice Presidents and Sr Directors of Creative Services Showroom Dept and offer administrative support to multiple showroom teams. Responsibilities include but not limited to: - Manage Outlook calendars for executives which involves frequent adjustments & updates throughout the day; scheduling & confirming all internal/external meetings/conference calls and details (meeting participants, locations, dialing instructions and any other relevant information) - Manage phones/messages and respond to basic requests for information - Track & process monthly credit card/cash expense reports, timely & accurately, with mandatory attention to detail and follow up on billing & collection of executive's receipts - Coordinate all travel arrangements with internal Travel department; ensure that travel plans are aligned with others traveling from the department; certify that all details are aligned with Corporate T& E policy - Invoices - assist in submitting & coding of vendor invoices; follow up on vendor payments with AP Dept and ARIBA system - Prepare correspondence, presentations, spreadsheets as requested - Coordinate shipments: USPS/FedEx/Messenger and tracking details as requested - Maintain pristine physical archive of all materials - Binders/Digital history of all Apparel Showrooms, Home Showrooms, Photo Shoots and Fashion Shows - Additional operational, administrative tasks and general office functions as needed Job Requirements - College degree - Previous role(s) in administrative or other support function in a fast paced environment - Strong written and verbal communication skills - Solid experience of MS Outlook, Excel, Word and PowerPoint - Exceptional organizational, multitasking, follow through and attention to detail - Dependable and detail oriented, willing to give more than the minimum required - Creative problem solver who seeks ways to show initiative - Works well with people or groups who can handle multiple managers; - Dynamic individual who has energy and enthusiasm and has an ongoing commitment to achieving high quality results - Self-motivated, can anticipate needs of others - Friendly, upbeat attitude
